Startup data room cost estimator.
A startup data room usually costs the plan price times the months the room stays open, plus any charges for extra admin seats or storage above what the plan includes. With a $250 plan, five admins and 15 GB over six months, the room comes to about $2,520. Treat the result as a planning number and confirm the provider's current price sheet.
Total for the room
$2,520
- Extra admin seats per month
- $120
- Extra storage per month
- $50
- Monthly cost
- $420
- Average per month, setup included
- $420
Indicative result from the numbers you enter. Not financial, tax or legal advice.
How it is calculated.
- Extra admins = admin seats needed minus seats in the plan (never below zero), times the price per extra admin.
- Extra storage = gigabytes uploaded minus gigabytes in the plan (never below zero), times the price per extra GB.
- Monthly cost = plan price + extra admins + extra storage.
- Total = monthly cost x months open + any one-off setup fee.
Worked example.
Seed round room open for six months
| Step | Working |
|---|---|
| Extra admins | (5 - 2) x $40 = $120 per month |
| Extra storage | (15 - 10) GB x $10 = $50 per month |
| Monthly cost | $250 + $120 + $50 = $420 |
| Total for the room | $420 x 6 months + $0 setup = $2,520 |
What drives the bill.
Three things set the price of a startup room: how long it stays open, how many people on your side need admin rights, and how much data you upload. Investor guests are unlimited on most plans built for fundraising, so the number of funds you invite rarely moves the price.
Per-page pricing still exists at the enterprise end of the market. If a quote is priced per page, ask for a flat monthly figure instead; a founder can rarely predict page counts before diligence starts.
How long to budget for.
A seed raise often runs two to four months from first meeting to wired funds, and a Series A three to six. Add a month after closing so counsel can pull signed documents and you can export an archive. Selling the company takes longer; plan for six to nine months.
Monthly or annual.
Annual contracts cut the monthly rate but lock you in after the round closes. If you raise every 18 to 24 months and also use the room for board packs and investor updates in between, annual can make sense. For a one-off raise, month to month is usually cheaper overall.
Treat the result as indicative.
Vendors change price sheets, bundle seats differently and run promotions. Use this estimator to compare two or three plans on the same inputs, then check each provider’s current pricing page or quote before you commit. Our pricing guide lists published prices and market bands for quote-only vendors.
Common mistakes.
- Counting investors as paid seats when the plan gives guests unlimited access.
- Budgeting only for the months of active fundraising and forgetting the month after closing.
- Uploading raw video, design files or full email exports that push storage past the plan limit.
- Comparing a monthly price with an annual price without converting both to the same period.
